  3. 3 Treasurer’s Report (Ron Wagner) • To-date we have a total of 477 members • 2016 Dues Status : • Members paid : 330 • Members unpaid : 147 • Account Balances: Savings - $9,476 and Checking - $7,684

  4. 4 2016 Budget Approval (Ron Wagner) • Charter Club Policies and Procedures requires that our 2016 Budget be approved by : • Executive Board Officers ( approved ) • General Membership (will request approval in this meeting) • 2015 vs. 2016 Budget: • 2015 - $20,800 • 2016 - $27,502

  5. 5 2016 Budget Approval (continued – Ron Wagner) • Primary differences between 2015 Budget : • Established “Reserve for Equipment Replacement” - $1,802 • Added GTC Logo Sales - $1,000 • Added “Ice Cream Social” - $2,500 • Link to 2016 Budget • Motion to approval the 2016 Budget

  6. 6 Men’s Representative’s Report (Bob Richman) • Current Drop-in times: • 2.5/3.0/3.5 on Tuesdays and Thursdays 9:00 to 11:00 (Adobe) • 4.0’s on Tuesdays and Thursdays 10:00 to 12:00 (Cimarron) • Continuing to monitor court usage and adjusting blocked times • All new members must be rated during our monthly Rating Session held on the last Friday of every month • Information being gathered in an effort to determine the proper format and improve 4.0 participation

  7. 7 Women’s Representative Report (Diane Vick) • Current drop-in times : • 2.5/3.0/3.5’s on Mondays and Wednesdays 9:00 to 11:00 • 4.0’s Mondays and Wednesdays at Cimarron 9:00 to 11:00 • All new members must be rated during our monthly Rating Session held on the last Friday of every month • If new members have a USTA rating , it will be accepted as their rating • West Valley Tourney Groups are in full swing

  8. 8 Women’s Potluck/Lunch Meeting (Diane Vick) • Date: Wednesday, January 27 th , 2016 • Will start after drop-in at 11:30 am • Location: Agua Fria Room at Cimarron • No sign up necessary , just bring a “pot” • Activities: • January birthday celebrations • Good food • Women’s Representative updates • Time to socialize with other players • Notices are on the Adobe courtside bulletin board, Sports Building, and emailed to Coordinators

  9. 9 Women’s Monthly Birthday Event (Diane Vick) • Held the last Wednesday of each month at 3:30 pm • Often hosted at someone’s house • $5.00 fee covers wine, appetizers and birthday cake • If interested in hosting this event, contact Cami Smith

  10. 10 Tourney Groups in Sun City Grand (Diane Vick/Bob Richman) • Women’s West Valley Tourney Groups (3 teams for each level): • 3.0 Kokopelli (Nancy Ash) • 3.5 Grand Dames (Susan Farnell) • 4.0 Z Girls (Ellen Bowers) • League runs from October 23, 2015 to March 4, 2016) • Contact Women’s Representative for info • Men’s West Valley Tourney Groups: • 3.0 (Rick Jaeger and Mike Smith) • 3.5 Sun City Grand (Gary Hansen) • 4.0 Sun City Grand (Lynn Blumi) • Tourney groups run from December through April • Contact Men’s Representative for info

  11. 11 Tennis Instruction Committee (Skip Pavitt) • We have started a new tennis clinic format in January 2016 • It is a 4-week 90 minute clinic with one of our USPTA instructor s • Total for 4-Week Clinic is $80 paid in advance • Clinics are held on Tuesdays (one 3.5/4.0 clinic and one 2.5/3.0 clinic) and Thursday (one 2.5/3.0 clinic) from 3:00 pm to 4:30 pm

  12. 12 Tennis Instruction Committee – (continued) (Skip Pavitt) • We have twelve (12) members enrolled in our 4-Week Tennis Clinics in January 2016 • There are 4 students per clinic • Each clinic is divided into one of two levels : • 2.5/3.0 and 3.5/4.0 • If this 4-week tennis clinic format is successful , we will continue them in February and March

  13. 13 Recap of New Year’s Day Social (Linda Campanelli) • 32 members participated in the tennis portion: • 10 teams of 3 players each • Red and Black teams both won the event • 50+ participated in the potluck portion: • Plenty of chili, soups, cornbread's and desserts Kudos to the chefs • Everything was great including the weather • Good time for all

  14. 14 Next Social Event – Valentine’s Day Tennis/Potluck Event (Linda Campanelli) • Location : Adobe Sport Building and courts • Cost : Free (bring potluck item) • Date : Sunday, February 14th, 2016 • Time : 12:30 - 3:00 Play Tennis, Potluck 3:00 – 4:00 • Sign up sheet will be posted on Adobe bulletin (in front of courts 3&4) • Deadline for sign up is Friday, February 12 th

  16. 16 Court Washing Schedule Change (Bob Richman/Diane Vick) • CAM has agreed to split court washing times at Adobe • Will now wash five (5) courts in the morning and five (5) courts in the afternoon • This allows us to utilize half of our Adobe courts in the morning and half in the afternoon • Drop-in schedules for that day can be split into morning and afternoon sessions • It will be up to our Men’s and Women’s Representatives to work out the schedules

  17. 17 Court Washing Schedule (continued) (Bob Richman/Diane Vick) • Our court reservation system , Holdmycourt, will show all courts booked for court washing days • For Adobe courts , depending on the whether it falls on a Wednesday (Women’s day) or Thursday (Men’s day), the representative will notify you of the court utilization on this day • One solution may be 2.5/3.0 level in the morning and 3.5 in the afternoon

  18. 18 2016 GTC Board Projects (Dave Cowles) • Redesign Grand Tennis Club website • Implement Records Management System • Improve tennis Instruction clinics offered

  19. 19 GTC Records Management System (Skip Pavitt) • Have developed a GTC Filing System • Gathering all past year GTC documents and filing in our new system • Records older than three (3) years will be stored in the CAM records retention facility • Current records will be stored in our GTC filing cabinets in the Sports Building storage room • GTC records will no longer be stored and kept by various individuals • We request that all individuals currently holding GTC documents transfer those documents to Skip Pavitt for filing or storing within our Records Management System

  20. 20 GTC Person of the Year Award (Gerry Smith/ Donna Gropp) • Each year we select a member that has performed outstanding work for the Grand Tennis Club • This year’s “ Person of the Year Award ” goes to Diane Vick • She has performed the following outstanding work for the club: • 2016 Women’s Representative • Helped with 2015 Women’s Representative • 2007 GTC President • 2008 to 2009 GTC Secretary • 4.0 Drop-In Coordinator for 2 years

  21. 21 Grand Tennis Club Recycle Program (Diane Vick) • Currently, Gayle Hammer is the sole volunteer handling this important program • We need your assistance with this program: • When you see the “Blue Recycle” baskets 75% full, please empty them into the large green “Recycle” container next to the Sports Building • If you want to help Gayle in moving our recyclable items to the Surprise Recycle Center next to the Fire Station on Reems and Mountainview, please offer to take the contents of the green “recycle” container • Additional ly, we need help with our trash baskets on the courts. When you see them filling up, please empty them in the large trash containers outside of the courts .

  22. 22 Grand Tennis Club Lost & Found Process (Diane Vick) • CAM has asked us to take all lost & found items to the Lost & Found at the Palm Center (see reception desk) • We have decided to allow items found on the courts to remain in the Sports Building for 2 weeks • Items will then be taken over to the Palm Center by Diane Vick

  23. 23 Ronald McDonald House Wish List (Judy Palzer) • The Sun City Grand Kokopelli Tennis Team is collecting “Wish List” items at this meeting • They are receiving “Wish List” items, cash or gift cards • This is for a very good cause : • Ronald McDonald house provides a home for families with children in the hospital. • Wish list items include food for families , household items , cash and gift cards .
