Schedule • Schedule for the Schedule • Now – 21 st October (14 weeks to end January, including the Christmas period)) • Notice of funding information – mid Dec(?) • Scope discussions with Package managers – mid Dec • Construction of first pass schedule – Jan week 2 • Discussion with Package Managers – Jan week 3 • Preparation of proposal - mid Jan • Proposal submission – later Jan or early Feb 2017 3
Finance • Equipment • Iteration on the equipment costs – need quotations(?) • Brexit / Trade agreements may have a bearing on the quotations received • Where to place equipment money? • University can move between years • STFC fixed to specific financial year • Consumables • More detail to come from the scheduling exercise • Travel • Estimates for known travel periods – Collaboration meetings, CERN ProtoDUNE/SBND…. • Resource • Need to drill down on the costs for the database • The database will feed into the resource loaded schedule • Directly Incurred - Staff, Directly Incurred – Other, Direct Allocation Investigators, Direct Allocation - Estates, Direct Allocation – Others, Indirect costs 4
Schedule • What software to use? • Microsoft Project (MSP) widely used and accessible • Primavera P6 used by the DoE project, along with Cobra for financial tracking • Need to purchase a seat • Learning new software • One central person • Links with the DUNE project? • Detail of the scheduling • Construction of the schedule for each work package • Work package managers or nominee to construct • Level of detail – 2 weeks – 1 month • Who will be working on the activity and the percentage of their time. • How to do it • I can meet with each package manager to construct the schedule together • If you have a copy of MSP - construct • Centralised single copy • Signed in and out for single use • Gets around problems of various versions 5
Milestones • In conjunction with the schedule the milestones will gain more definition • Currently allocated date is within a quarter • Activities that drive the milestones and deliverables will come from the scheduling. • PDR, FDR and PRR need to be scheduled in – milestones or activities. • Milestone substantiation reports will be produced. 6
• Risk • Risk register for each package • From the individual packages Top level risks • Information for Financial, Schedule, Technical or Resource risk • Document Repository • Dropbox – possible problems with virus… etc • Office 365 – STFC has a specific area – do other institutes • Oxford Twiki – would like to use this for the meetings… etc 7
