Quality of Life We had a QoL subgroup meeting on Monday Feb 12 via zoom Next meeting is on Tues Feb 27 at 2pm We will also meet on the Tues in the week of the UEC meeting Apr 3, 2pm May 1, 2pm June 18, 2pm Main topics of discussion Discussion on the feedback that was received Improved communication and getting the word out Ideas on surveying the community 1 Frank Chlebana

Feedback Coordination During the last UEC meeting we had some discussion on how to process the feedback, → should formalize the process… Web form sends feedback to UEC mailing list Technical problems with sending to mailing list, currently sent to Frank + Gavin Other groups have designated people to filter comments Summarize / archive feedback We setup a google spread sheet for this Other groups use share point Accessible to all UEC members Designate a feedback coordinator to forward feedback to the appropriate contact and monitor progress Suggested that the UEC chair coordinate responses to feedback Categorize the feedback and identify a contact for each category 2 Frank Chlebana

Feedback Statistics Collected feedback from the meet and greet, feedback form, and verbally, summerized at: https://docs.google.com/spreadsheets/d/1WYGcQf8CwIoKczydICf3KOFOvCr6DCFHW2mxNppuDmQ/edit#gid=0 We have 24 entries 3 Meet and greet suggestion box 14 Meet and greet verbal communication 5 Verbal communication 2 Feedback form Spread sheet had entries by 4 people Most of the feedback was collected by verbal communication Will leave the feedback posters up at the elevators Keep mentioning location of feedback form in the minutes… 3 Frank Chlebana

Feedback Followup Defining categories and identifying a contact person for each category Feedback coordinator should forward feedback to contact and monitor progress… Facilities (Joe Pygott) Computing (Jon Bakken) Communications? Global services (Griselda Lopez) Food Advisory Committee (John Hatfield) UEC: Government relations UEC: Users Meeting Did meet with Joe Pygott, forwarded the feedback and some suggestions… He met with the Wilson Hall building management team and passed on the feedback – will follow up with progress… 4 Frank Chlebana

UEC Related Feedback Some feedback related to the UEC organization  Thanks for all you do for the users of Fermilab  Clarify definition of “user”  Focus more on the physics program - allow users to provide more input to help shape the physics program  Better define the UEC role and how it interacts with other initiatives at the lab UEC: Government Relations  Do you have any data/metrics on what impact UEC has on budget outcomes through the DC trips? Miscellaneous Feedback  Provide a convenient long term parking space near Wilson Hall  Make sure general announcements (such as work on wifi) are sent to both  employees and users email lists  Provide indoor bike parking or a covered area outside that is protected from the elements  There is too much parking reserved for the directorate  High mineral content of water fountains. We need to identify the contact person that can address these points Would like to keep track on what action was taken on the summary spread sheet… 6 Frank Chlebana

ZipCar Program started on Feb 1, 2018 ZipCar was onsite to provide information and signup people Requires a one time registration fee About 10 people registered Working on another signup event in spring/summer More information at: http://get-connected.fnal.gov/car-share-program-zipcar/ So far no one has made use of the car… If there is no demand for this service it will be terminated Have reached out to the various groups to advertise this service What else can we do? 7 Frank Chlebana

  10. Communication Are we effectively reaching out to the community? Can make more use of the mailing list for announcements… Give presentations on the UEC in our respective group meetings… have prepared a set of slides as a starting point Consider designing a survey for the users meeting Require short survey to complete registration Optional longer survey presented during registration Suggestion boxes at entry way to auditorium Have a feedback panel What is the most effective way for users to find information relevant to them People tend to filter information from email, news letters… Better to provide an easy to use web site / search function so people can find the information that is relevant to them Would require coordination of the how information is presented… beyond the scope of the UEC… 9 Frank Chlebana
