  3. Monthly Membership Meetings District Membership Captain (Sent August 6, 2017) Section 1.130. Parliamentary Authority:—The current version of Robert’s Rules of Order, Newly Revised, shall govern all proceedings unless contravened by the Constitution or Laws of the Order, or the By-Laws of a Lodge. 3

  4. State Co-Sponsors TESA President and PE • The District Deputy (DD) is the District Membership Captain (Sent August 6, 2017) • A March start. Can’t waste months until State Convention (VP) or Grand Lodge Installations (DD) • DDD and DD work together through the transition in July • District Deputy acquires from Lodges their monthly meeting day* • DDD work on a membership plan with the VP Elect, keeping the DL informed/guidance 4

Things to Consider • Ask for Agendas and Minutes of Previous Meeting no later than three days prior to the scheduled meeting. • VPs, DDs, District Membership Chair and/or DL show up with no advanced notice. • Be as knowledgeable as possible, but forward on questions/concerns. Lodges will have similar issues across the state. • Write your reports honestly. We are not helping Lodges if we gloss over issues. 5

  6. Never Measured, Never Managed Having an Effective Agenda Must meet regularly (suggest weekly April through June, then monthly). 1. Hospitable Lodge – 2 minutes max to greet 2. Set goals to initiate 10% more members. 3. Set goal of 5% dropped for non-payment of dues. 4. Review and study the membership manual. 5. Discuss initiatives to publicize membership efforts. 6. Use bulletins/social media/websites to encourage members to bring potential candidates to Lodge. 7. Publicize membership classes. 8. Discuss incentives and contests . 9. Discuss reinstatement opportunities and strategies. 10. Review Stray Elks. 11. Review delinquents . 12. Review and evaluate Orientation program. 13. Review membership numbers & compare to goals.

  8. Membership Committee • Exalted Ruler • Leading Knight • Secretary • Membership Chair • At least one additional member per 100 members in your Lodge. o 100 or less members – Add 1 o 200 members – Add 2 o 500 members – Add 5 8

Committee Skills/Talents • Sales - working recruitment tables, working reinstatements, greeting guests and inviting them to join. • Public Relations/Marketing - Promoting membership on the social media page and lodge website. Making sure everyone is aware of the positive impact the lodge has contributed towards the community. • Orientation - Educating, involving and inspiring the new Members to recruit and be active. Matching their interests and time with a Lodge committee or activity. • Collection Department – Assist the Lodge Secretary with billing, collection letters, phone calls , emails and personal visits to delinquents. Patience and persistence.

Membership • Everyone has a function; One hr/day/wk/month o Social media to accounting • Life blood of a Lodge • Newly Initiated members under New Business • Deal with Toxic Members immediately o Zero tolerance for racism, sexism and harassment o “Your <behavior/language> offends me and I’m asking you to stop.” 10

  11. Delinquent Membership • Make it easy to Pay o Check o Website o Credit/Debit card o PayPal All officers need to be able to take payments

Initiate New Members 30 days from Application to Initiation • 1 st Lodge Meeting - Read Application On Floor • 2 nd Lodge Meeting – Report on investigation and membership vote • 3 rd Lodge Meeting - Initiation celebration It is OK to have a special meeting just for Initiation – Make Initiation an Event.

  13. Mile Markers • Initial Calls/Mailing/Email o Now thru April (2x month) • Call-a-thon o Now thru April (2x month) o September-October o Script and ideas are online • $1 Reinstatement o October-November (check your by- laws) 13

  14. Delinquent Members • Should never be a Life Member on list (Standing Relief) • Take care with 10 to 20 year members also • Build a script and a tiered calling structure • What has changed? • Escalate issues to the Exalted Ruler and Membership Chair 14

  15. Use Resources • District VP • District Deputy • District Leader • State Directory (Membership Committee) • Pick up the phone or email No Lodge in the State of Texas should be struggling 15

Recap • District Deputy acquire from Lodges their monthly meeting day (e.g. 3 rd Wednesday at 7 pm) • DDD and DD work together through the transition in July • DDD work on a membership plan with the VP Elect • VP Elect – Importance of District Membership Chair • Make dues payments easy • Put newly Initiated members under New Business • Lodges create a short list of action items to address acquiring and retaining members • DDs will provide Co-Sponsors, TESA President, President- Elect and TESA Membership Chair with a monthly report by the 12 th . Consider having Lodges provide you (the DD) with their report by the 5 th . 16
