FSPA Update Sebastian Aderhold, Mateus Carneiro, Rob Fine, Elena Gramellini, Cindy Joe, Nitin Yadav UEC Meeting 10 October 2016
2 / 36
From our first FSPA update this year (9 Oct 2016) 3 / 36
Historical role of the FSPA I FSPA has 3 major tasks throughout the year 1. Organize Halloween party, a community event 2. Attend the DC trip, engage our government representatives 3. Organize the New Perspectives conference in conjunction with the annual Users Meeting I Facilitate social activity among young persons at the lab, particularly in the Village I Represent the interests of student and postdoc Users of the laboratory 4 / 36
Accomplishments from last year I Halloween party, DC trip, as usual I New Perspectives - Very well attended, more talks and posters than we were able to accommodate I Sporadic low-key social events at the Users Center (pizza and beer, usually), one o ff -site social event at a bar I Revival of “Guide to Life”, in collaboration with NALWO I Holi, Chinese New Year celebrations I Fermilab vs. Argonne soccer match (upcoming!) I Investigation of carpool parking spaces – brought to UEC I Increase of User email capacity – brought to UEC 5 / 36
Where can we go this year? I We have an excellent opportunity, and responsibility, to increase the scope of FSPA activities I Because of the overlap of o ffi cers, we have much more momentum going into this year than any board in the past – How best should we harness this momentum? I I think we have a responsibility to lay the framework for future FSPA boards to operate e ffi ciently, even without overlap (documentation, documentation, documentation) 6 / 36
Ideas I FSPA Advertising - Are we reaching our target audience? I Clean up our presence on the web (remove all old GSA pages) I More frequent low-key events (beer and pizza at the Users Center) I Forging collaborations with other groups at the lab who’s constituents overlap with ours (NALWO, Italian Students Association, etc.) I Forging collaborations with other groups of young researchers near the lab (Argonne, U. Chicago student associations, etc.) I Any other ideas? 7 / 36
So, what did we actually do? 8 / 36

February 2016 update 15 / 36
Transition from FSPA “hosting” events to “sponsoring” events I We think that we’ll be able to host more events by collaborating with other Fermilab organizations, outside organizations, motivated individuals, etc. I The idea is to transition fully to such a mode of operations, allowing us to host more events throughout the year, and freeing up time to focus on our bigger responsibilities throughout the year: New Perspectives, DC Trip, Halloween Party(?), behind-the-scenes work I We’re figuring out how to trial this idea for the next 6 months – Tim is on board with this plan I We’ve hosted one event this way, and we’ve got 3 more in the works I We plan on releasing a webpage application that anyone can fill out to propose an event – we’ll decide as a group what an appropriate investment of time and funds for that event would be, and then one of us would act as point-person, helping the applicant fill out the paperwork, navigate the bureaucracy, but not do as much of the footwork 16 / 36
New Perspectives - Overview I We are kicking serious butt in NP planning I We have some new ideas for advertising, getting people in the door, and presenting an interesting, diverse programme I Working with the Conference O ffi ce has been very helpful, and made our lives easier I Establishing a clear divide between NP and the UM Poster Session has been very helpful, and made our lives easier I When our lives are easier, we end up with a better conference (that’s the plan, at least) 17 / 36
