Beyond the technology beyond the technology A new innovative sample tracking technology for environmental and water samples, from collection to analysis Remote Sampler Sam Goddard, CSols Ltd (Stand 69) sam.goddard@csols.com www.csols.com
Sampling Requirements European Water Companies typically collect between 100k and 1M samples/year Clean Water (Houses, Reservoirs, Treatment Works) Dirty Water (Trade Effluent, Sewage etc) Highly regulated as to methodology and frequency of sampling Typically 1- 5 Million houses per company
Existing Sampling Systems Collect data on paper sheets Data goes back to LIMS e.g. SampleManager, LabVantage, LabWare etc. Systems are inflexible and error- prone Room for great improvement
Processes Scheduled Samples Planned by LIMS Sampler collects the Samples and reports back details to LIMS Ad Hoc Samples A User defines what needs to be collected e.g. for a burst pipe or complaint Sampler collects the Samples Samples logged automatically on LIMS
Remote Sampler: Architecture
The Hub Manage the flow of data Get Collection Runs from LIMS Assign and manage Sampler jobs Comprehensive Reporting Highlight exceptions Approve data back to LIMS
The Hub – Scheduled Samples Collection Runs are obtained from LIMS Normally a week or so of work is generated for each Sampler
Hub Allocating Work Pending Runs Sampler Devices Runs are dragged to the Device Physically moved to the device when it is possible Samples/Runs can be dragged between devices Runs may be modified/merged
Handheld Devices Must be Rugged Large, bright, touch screen Vehicle mounting/charging Barcode Reader GPS Mobile Broadband (GPRS) PC Windows or Windows CE
Sampler: Wizard Simple Wizard Large buttons On PC Tablets keyboard always visible Behavior Configurable
Sampler: Performing Checks Configurably define what checks must be done periodically Sampling cannot commence until checks complete Specific Responses required Sent back to LabCache Permanently associated with collected Samples
Sampler: Collection Select a location LIMS knows location to go to GPS can take Sampler there
Sampler: Enter Onsite Tests Questions include LIMS Onsite Tests and any others configured Help provided to Sampler in Entering Results Responses checked Calculations performed Here and elsewhere in Wizard …. any deviation from required flow requires Forced Comment to be entered ….. Or User can backtrack and rectify a mistake
Sampler: Scan Bottle Barcodes Bottle labels generated by LIMS attached to Bottles as they are collected Bottles scanned GPS Coordinates (if available) and date/time recorded
Sampler: Review All entries are reviewed Sampler may step back and change anything Otherwise Sample is sent back to the Hub immediately Normally the Sample details are updated on LIMS automatically SampleManager second scan at the bottle receiving Lab releases the Sample for Testing
Ad Hoc Samples Sample Login facilities available on both the Hub and the Sampler Tablets Can do everything that LIMS Login does e.g Using Templates Uses LIMS data held in local databases New Samples/Runs are created in Remote Sampler and dealt with just as those for Scheduled Samples When completed Sample is returned to the Hub, it is autologged to LIMS (including lab tests) User manually matched AdHoc bottle Ids to LIMS bottle Ids using barcodes
Chain of Custody Device barcode scans locations and bottles Hub can scan bottles, consignments Signatures can be taken if required Whole Chain of Custody can be viewed on the Hub
Lone Working If Sampler does not touch the screen for too long an alert will be raised Warnings can be texted or emailed to a list of contacts Sampler’s last location and route can be viewed on Google maps directly from the Hub
Summary Systems are cost-effective, they save time Systems are popular with Users once established Improve quality by validating data at point of entry, and removing transcription errors Improves compliance and traceability of sampling
