Presidents’ Forum Money Processing Survey January 2020 How do Rockwood’s Parent Groups Track their Spending, Budget, and Collect Online Payments?
Do you have any additional information you would like to share with the other parent groups in the Rockwood District about the program(s) your organization uses? Any successes, any failures, tips for other groups? We have had to make sure on all our RSVP forms that a space for the parent’s PayPal name ● is included. Offering PayPal makes it much easier on our families, but more difficult for those collecting and sorting RSVPs. (Kellison Elementary) We have less than ⅓ of families using the Membership Toolkit app, so we are going to be ● discussing the value of renewal for 2020-21. (Blevins Elementary) ● We use PayPal for donations only, not as a transaction payment tool we use Clickbid for fundraiser auctions. (Ellisville Elementary) ● There are pros and cons to having so many forms of payment. Pro: Good customer service. ● Con: Tracking Challenges. My recommendation is to keep it simple with 1-2 forms of payment. Membership Toolkit seems the best. Venmo is extremely easy and better than cash, but it is one more thing to track. One large perk about Venmo is that there are no fees, so it has saved us money. (Babler)
Do you have any questions you would like to ask? ● How do other schools handle fees charged by online payment processors (ie, PayPal, Venmo)? Do they pass that fee onto the person purchasing? (Kellison Elementary) ● Trivia Night (or other silent auction fundraisers) is also something with which we have struggled to find a good online payment option. I think we have settled on Auctria, but still open to ideas. (Eureka Elementary) ● We would love to hear more about using Venmo. (Bowles)
