Probationary Faculty Reviewers Department Chair : Performs peer classroom observations and reviews the materials you present for retention, promotion and tenure. Department Personnel Committee : Consists of three, five, or seven tenured faculty at the rank of Full Professor, elected by the department. The committee performs peer classroom observations and reviews the materials you present for retention, promotion and tenure. College Personnel Committee : Consists of three to seven tenured faculty at the rank of Full Professor, selected by the College. The committee reviews the materials you present for retention, promotion and tenure. Dean of the College : Reviews the materials you present for retention, promotion and tenure. Provost : Reviews the materials you present for retention in the second and fourth years and for promotion and tenure.

It serves as a portfolio documenting an RTP candidate’s professional activities relevant to retention, tenure and promotion at CSUN. • Personnel Action File (PAF): https://www.csun.edu/sites/default/files/SEC600_1819_final%2010.17.18.pdf (Section 606.1.2) The PAF is maintained by and stored in the office of the Dean of the College. It is the official personnel file for a faculty member that is reviewed for all personnel actions, including retention, tenure, promotion, and service salary adjustments.
The Professional Information File Contents • Index of Professional Information File contents with date. • A concise narrative/cover letter. The letter should include the type of evaluation you are requesting, and the version of the Department Policies and Procedures and College Policies and Procedures under which you elect to be evaluated. • Current curriculum vitae (CV) with date. • Outline of evidence provided in the Professional Information File. • Evidence of: 1) Professional Preparation; 2) Teaching effectiveness and Direct Instructional Contributions; Effectiveness in Librarianship; Effectiveness in Counseling 3) Contributions to the Field of Study: 4) Contributions to the University and Community. • Additional Support Material: To include copies of written submissions of abstracts and manuscripts.
The Personnel Action File Contents • A log sheet recording all instances of access to the Personnel Action File. • A copy of the appointment letter. • A table of the contents for the faculty member's Professional Information File. • Copies of Department recommendations on retention or promotion. • Copies of recommendations made by the College Personnel Committee and Dean. • Copies of all documents related to any appeal from a personnel recommendation. • Copies of notice letters from the President on personnel actions.
The Personnel Action File Contents • Written reports of peer class visits and student evaluations of teaching effectiveness. Student evaluations of teaching effectiveness must be retained for a minimum of five years. • A dated copy of the faculty member's current curriculum vitae as of the most recent year in which the Professional Information File is submitted. • A copy of the President's decision in Grievance and Disciplinary Action Cases. • Copies of written reprimands. • Correspondence concerning such matters as approval of leave requests. • Sabbatical Leave Reports.

New Faculty Sequence of Actions First Year • Carefully read: (1) Your Department's Personnel Policies and Procedures; (2) The CSUN Administrative Manual (Section 600). • Both your Department Chair and Department Personnel Committee (or designees) should conduct a peer class observation. • Student evaluations should be conducted in at least two classes during the Fall semester and two classes in the Spring semester, for faculty who teach.
New Faculty Sequence of Actions Second Year September • Early in September (or much earlier is even better), meet with your Department Chair to discuss a draft of your Professional Information File materials. • Arrange to have your Department Chair and Department Personnel Committee (or designees) conduct classroom observations this Fall semester before you submit your Professional Information File. • Go look at all materials in your Personnel Action File to ensure all the necessary items are in this file: student evaluations, peer classroom observations, CV’s (when hired and for each year of review), offer letter, Professional Information File Index, etc.
New Faculty Sequence of Actions Second Year October • Early in October, your Professional Information File will be due to your Chair and Department Personnel Committee (some departments may have a due date in September). • You will also meet with your Department Personnel Committee about your Professional Information File. • Late October you will receive recommendation letters from your Department Chair and Department Personnel Committee. Once you receive this letter, you have 10 calendar days before this recommendation automatically moves to the next level. During the 10-day period, you may request a meeting with the reviewing body and/or submit a response of rebuttal.
New Faculty Sequence of Actions Second Year November • Early in November, the Dean and College Personnel Committee receives your materials for evaluation. Check with your specific College; you may or may not be required to meet with the College Personnel Committee. • Late in November, you will receive a recommendation letter from your Dean and College Personnel Committee. Once you receive this letter, again you have 10 calendar days before this recommendation automatically moves to the next level. During the 10-day period, you may request a meeting with the reviewing body and/or submit a response of rebuttal.
New Faculty Sequence of Actions Second Year December • Early in December, your Dean will forward to the Provost and Vice President for Academic Affairs all your materials. You don't have to do anything at this point. January/February • The Provost and Vice President for Academic Affairs will notify you with the results of the review process. The Provost does not review your materials every review cycle.
