DOE-AD (Additional Student Information) • The reporting period is May 6 th – June 7 th or five days after the end of your school year. • The reporting period will open at 8:00am and close at 4:00pm EDT on June 7 th . • Contact STN Support if your school calendar is after June 7 th to make arrangements to submit data. @EducateIN

DOE-AD (Additional Student Information) Report ALL qualifying students! • Students identified and receiving High Ability services generate grant dollars. • Students identified and meeting the definition of McKinney-Vento- Homeless at any time during the school year generate grant dollars. @EducateIN

DOE-AL (Alternative Education) Reporting period May 13 th 8:00am - July 12 th at 4:00pm EDT Two NEW fields for 2018-2019 school year reporting! 1) Exit Date - added to assist in determining length of each enrollment record for each student. 2) Time Student Attends – added to assist in determining when students are enrolled and attending the program. Morning, Afternoon, or Evening. Any combination of these may be reported. @EducateIN

DOE-AL (Alternative Education) NEW validations for 2018-2019 school year reporting! 1) Exit Date can not be reported prior to the Entry Date. 2) Multiple records entered for a student can not have overlapping dates. An internal error message will be generated (similar to RT/EM). 3) Students reported with less than 10 consecutive days will fail. @EducateIN

DOE-AT (Attendance) Reporting period May 13 th 8:00am – July 5 th at 4:00pm EDT Calendars must be Certified before Submission of Data Real Time submitters: • Accountability School must match on both AT and RT records reported. • Grade level reported on AT must match grade level reported on RT. @EducateIN

  7. “C” (Certified Staff Data) EACH YEAR MAKE SURE TO SUBMIT ALL YOUR PERIOD 1 “C” DATA!! Did you forget? Did you miss the deadline? Did you miss an employee? @EducateIN

  8. “C” (Certified Staff Data) Missed Period 1 “C” Data? • Submit your Period 1 Data during Period 2 opening May 1, 2019 at 8:00am • Period 2 data will not be included on the DOE-EE Source file. • Missed data can still be submitted by a locally created EE file. @EducateIN

  9. DOE-EE Source File BENEFITS OF SUBMITTING YOUR PERIOD 1 “C” DATA!! DOE-EE Source File is generated and available to only those schools that submit their CP and CC data in period 1. The source file will not be available if no period 1 data was submitted. Any missing or inaccurate data submitted will result in an inaccurate source file. Any inaccurate EE data submitted will result in inaccurate IGM data provided back to the school. @EducateIN

DOE-EE (Educator Evaluation) and DOE-ER (Educator Evaluation Rating) • DOE-EE data is used to generate IGM (Individual Growth Measure) ratings used in educator evaluations. • IGM data is provided back to only those schools that submit data. • DOE-ER provides the final summative rating for each certified staff in a corporation and is reported to the State Board of Education. • ER ratings assist in determining the local distribution of Teacher Appreciation Grant (TAG) funding to all eligible certificated staff members. @EducateIN

  12. Graduate Pathway Data Guidance for Reporting Graduate Pathway Data!! Field 7-Postsecondary-Ready Competencies • Reporting graduating students with code 05=State and Industry recognized Credential or Certification and Code 07=Career-Tech Ed Concentrator should have records reported through InTERS. • Reporting code 09=Locally Created Pathway then field 8-Local Pathway must have a locally created pathway code entered. • Reporting code 10=Waiver from Postsecondary-Readiness Competency can only be selected when reporting diploma types 04=General or 13=Core 40 only AND field 6-Employability Skills has codes 1, 2, or 3 submitted. @EducateIN

  13. Graduate Pathway Data Students meeting both Graduating Qualifying Exams (GQE) and meeting a Graduate Pathway; how is data reported? The department recommends students meeting both GQE and a Graduate Pathway be reported as a traditional graduate. Pathway data is not required for reporting these students’ graduate data. @EducateIN

DOE-HB (Homebound/Hospitalized) Reporting period May 1 st 8:00am – June 28 th at 4:00pm EDT • Report students that qualified and received homebound or hospitalized services for a minimum aggregate of 20 instructional days anytime during the current reporting school year. • DOE-HB is now reported at the end of each school year to identify students receiving services from July 1 st to June 30 th . @EducateIN

  16. Membership ADM Type 6 • Dual Enrolled Rules • NEW!! Students dual enrolled between a public school and home school 50% or more of their FTE (full time equivalency) cannot be reported as dual enrolled. • Home schooled students attending a public school 50% or more must be reported on Real Time and Membership with the accurate ADM type other than 6-dual enrolled. Public schools are accountable for these students. • Students cannot be counted as dual enrolled between two public school corporations; this includes Virtual Charter Schools (on-line courses). • Students receiving special education speech services only are not considered enrolled and should not be reported as dual enrolled by the public school. @EducateIN

DOE-RT (Real Time) Validations • Real Time records MUST exist to report student data in the following reports: • DOE-ES (Discipline Report) • DOE-LM (English Learners) • DOE-ME (Membership) • DOE-MA (Membership for Adults) • DOE-SE (Special Education) • DOE-TB (Curricular Materials Assistance) • DOE-TR (Special Education Termination) @EducateIN

  18. DOE-RT (Real Time) Uses • Real Time records are used for the following data: • DOE-PE (Pupil Enrollment) - PE is published out with SES and demographic data for each school and corporation. Reporting accurate SES data on each student is important. • Sets Cohort each year for incoming freshman class. • Allows access to student’s Indiana IEP . • Identifies the school corporation that is accountable for the student. • Provides roster of students for assessment files submitted to assessment vendors. @EducateIN

DOE-EM (Enrollment and Mobility) Validations • Enrollment and Mobility records MUST exist to report student data in the following reports: • DOE-LM (English Learners) • DOE-SV (Special Education with Voucher) • DOE-TB (Curricular Materials Assistance) • DOE-MV (Membership for Voucher) • Students must have an EF (Endorsement Form) uploaded to the department. @EducateIN

DOE-SE (Special Education) Reporting phases April 1 st 8:00am – April 24 th 4:00pm EDT • Special Education Placement Type (LRE-Least Restrictive Environment) Code updates: • Code 38 – this code also pertains to students who are parentally placed in a homeschool setting and are grade level KG and 5 years of age. • Codes 26 – 38 are for students less than 6 years of age as of December 1 st . • Codes 50 – 57 are for students 6 years of age as of December 1 st . @EducateIN

  22. DOE-SV (Special Education for Vouchers) Reporting phases April 1 st 8:00am – April 24 th 4:00pm EDT • Reporting school must match school reported on EM record. • Students must have an approved Choice scholarship with parent(s) electing the school to provide services. • Students must have a SF (Special Education Endorsement Form) uploaded to the department. @EducateIN

  23. DOE-TL (Testing Labels) • Rosters are uploaded to Pearson and AIR (assessment vendors) based upon RT-EM (enrollment records) provided from schools in the STN Application Center. • Entering or Exiting a student will add and remove the student from the TIDE roster. • Pearson roster may be maintained locally after the initial file is transferred from IDOE. • Accommodations submitted for a student will remain with the student when transferring to another Indiana school. Submitted accommodations follow the student. @EducateIN

  24. DOE-TA (Testing Accommodations) • Students without an IEP requiring an accommodation are submitted to the department identifying the assessment and the type of accommodation. • Students with an IEP should have accommodations identified in a finalized IEP (not proposed) associated to the assessment. @EducateIN
