  1. Faculty Activity R eporting Workshop Brought to you by Hanna Jarsocrak, Office of Institutional R esearch

  2. Goals  Logging into FAR  Access your faculty FARs  FTE Calculations& Guidelines  Adjusting the activity  Submit FAR

  3. Logging into F AR • Open a browser and navigate to MyWings • Login to MyWings using your UNF ID and password

  4. Logging into F AR For Administrative Users: • Staff Tab • Employee Self Service • Employee Services • UNF Administrative Applications • Faculty Information • Faculty Activity Reporting For Faculty: • Faculty Tab • Faculty Self Service • Faculty Activity Reporting • Department Chair can select “Faculty Activity Reporting- Department Chair” to approve at the Department Chair level

  5. Accessing F ARs • Select the Term, College, Department, faculty, and Pay Plan you would like to view/edit from the drop-down menus, and then click “Submit”.

  6. Goals  Logging into FAR  Access your personal activity reports  FTE Calculations& Guidelines  Adjusting the activity  Submit FAR

  7. FTE Calculations • The FAR data is pre-populated but needs to be verified for accuracy. If any faculty member believes that a standard weight shown for any given activity does not reflect the percentage of their effort, he/she may adjust it as long as the adjustments are within some general parameters and the chair approves. • These parameters can be found in the Faculty Activity Report Guidelines document.

  8. FTE Calculations Standard Course Calculations • Course Section Types C, D, L, O: Reported FTE (GR)= (Course Credit Hours) X (Instructor %) X (0.1) Reported FTE (UG)= (Course Credit Hours) X (Instructor %) X (0.0833) The UG FTE is reduced if: • Repeated non-Gordon-Rule UG course with less than 50 students • Repeated non-Gordon-Rule UG course with 50+ students and a teaching assistant Reported FTE = (Course Credit Hours) X (Instructor %) X (0.0667)

  9. FTE Calculations Standard Course Calculations • Course Section Types G, I, R, S, & T: Reported FTE =(Total Enrolled) X (Instructor %) X (0.04167) • Course Section Types P: Reported FTE = (Total Enrolled) X (Instructor %) X (0.04167) • Course Section Types Z: Reported FTE = (Total Enrolled) X (Instructor %) X (0.01667)

  10. FTE Calculations Adjustments • Adjustment for Summer Courses: Reported FTE =(Standard Calculation) X (1.33) • Adjustement for Cross-Listed Course Sections: Reported FTE = (Standard Calculation) / (# of Cross-Listed Sections)

  11. FTE Calculations Non-Instruction Related Activity • Deparmental Research : 20% (.2) • Public Service : 2% (.02) • University Governance : 3% (.03) Non-Instruction Related Activity- Instructors • University Governance : 4% (.04) Weighting • Weighting Factor = 1/Total Contact Hours • Unweighted FTE X 12

  12. FTE Calculations- Examples Cross-Listed Courses • Course activity split across multiple records Why • Taught by multiple instructors • Taught by same instructor in same locations at the same time

  13. FTE Calculations- Examples High weights • If you see course activity is weighted extremely high– there may be something missing from the pre-population! • We try our best to account for the following: ▫ New Faculty course releases ▫ Academic Administration duties ▫ ORSP Grants/Cost Shares ▫ Sabbatical ▫ Medical Leave • If it’s not in Banner, we have no way of knowing!

  14. FTE Calculations- Examples Realease Time/Leave of Absense • Assigned under Non-Instruction Related Activity Why • New instructor • Medical Leave • Sabbatical

  15. Unweighted FTE vs Weighted FTE WEIGHTED FTE MUST EQUAL 1!

  16. Goals  Logging into FAR  Access your personal activity reports  FTE Calculations& Guidelines  Adjusting the activity  Submit FAR

  17. Adj usting the Activity To adjust Course Activity • Adjust the number in the Unweighted FTE box • Click ‘Update’ to get new total. • Take new Unweighted FTE Total and divide by 1 to get new weighting factor. • Multiply each item by the weighting factor and enter the amount in the Weighted FTE box. You will need to do this for all activity OR • Adjust the number in the Unweighted FTE box • Call Hanna (x5071 hanna.jarsocrak@unf.edu) OR • Call Hanna (x5071 hanna.jarsocrak@unf.edu)

  18. Adj usting the Activity (F AR with Grants) To adjust Course Activity • Adjust the number in the Unweighted FTE box • Click ‘Update’ to get new total. • Take new Unweighted FTE Total SUBTRACT ANY SPORSORED RESEARCH FTE and divide by 1- SPONSORED RESEARCH FTE to get new weighting factor. • Multiply each item EXCEPT THE SPONSORED RESEARCH by the weighting factor and enter the amount in the Weighted FTE box. OR • Adjust the number in the Unweighted FTE box • Call Hanna (x5071 hanna.jarsocrak@unf.edu) OR • Call Hanna (x5071 hanna.jarsocrak@unf.edu)

  19. Adj usting the Activity To adjust Instruction-Related Activity, Non- Instruction-Related Activity, and/or Sponsored Activity: • Delete activity: • When you click ‘Update’, the activity will be removed • Please note: if you delete all the activity off of a FAR, it will delete the individual from the system

  20. Adj usting the Activity To adjust Instruction-Related Activity, Non- Instruction-Related Activity, and/or Sponsored Activity: • Add activity: • When you click ‘Update’, the activity will be added • Make sure you enter a value in each field, or else it will not work • Avoid added multiple of the same item, unless the Paying/Benefitting Org/Funds differ.

  21. Adj usting the Activity If a faculty member did not teach, but has activity to report: • Previously needed to be added from faculty account • Can now be adjusted from Administrative User Accounts because all FARs are populated with 100% Release Time • Any FAR with 100% Release Time and no Approvals will be deleted from the system prior to state submission. This is currently acting as a place- holder so we can have the ability to access all FARs.

  22. Goals  Logging into FAR  Access your personal activity reports  FTE Calculations& Guidelines  Adjusting the activity  Submit FAR

  23. S ubmitting F ARs Click Approve: • If you are submitting the FAR on behalf of the faculty, print a copy and have the faculty sign. • If you click approve by accident: ▫ Contact Hanna Jarsocrak, hanna.jarsocrak@unf.edu • Goes on to Department Chair for approval • Goes to Office of Research & Sponsored Projects
