Summer/Fall IMELINE -Find event venue and secure a date. Check other local regular events scheduled and holidays to limit conflicts with attendees, volunteers, exhibitors. Fall -Put together a small group or committee for event planning -Begin solicitation for corporate sponsorship • Keep notes on when each set their budgets and if they have focus areas TIMEL they contribute toward • Ask to exhibit. Find tie(s) to injury areas Winter: -Solicit exhibitors/entertainment -Begin inquiries for volunteers. Ask coalition members, high schools and area colleges, civic groups, bicycle clubs, youth groups, etc. -Begin promotion planning and integrate Classy fundraising platform Spring -Order materials/signage -Collect contact information for every volunteer expected at the event for any last minute communication (ie inclement weather). -Schedule regular communication with volunteers, providing FAQ and emergency protocols. 7
IMELINE Week Before Event -Make a GO checklist for the day -Send media alert and personally contact key media contacts -Outdoors? Check weather forecast. Have Plan B and communicate with participants. Think about Plan C. -Make final confirmations with event site and volunteers. TIMEL Day of Event -Arrive early. Really early. Seriously early. -Have a designated media spokesperson, photographer, and relief worker to check on participants’ needs. -Bring coffee, a power snack in your pocket, and wear comfortable shoes. After Event -Send thank you letters and donation receipts. Report on event results -Survey your booth vendors, volunteers, host site, any other participants to see what worked an areas for improvement. -Debrief with staff/committee for lessons learned. -If you plan to repeat event, set next date ASAP. 8

Lessons Learned Ask for help… from planning, to helping, to giving. Individual donations have been harder to get than sponsorships, but can add up. Define what your event is, and what it isn’t. Don’t be afraid to try something new. Fundraising is only a fraction of your success. 23
