  2. Notes • This presentation is geared towards faculty serving on tenure/promotion committees this academic year. HALF PAGE IMAGE SIZE EXAMPLE • Detailed steps have been provided to unit assistants. • The Schedule of administrative deadlines* has important dates for faculty, supervisors, committees, and involved offices. *See the “Important Dates and Deadlines” section here: https://www.mtu.edu/hr/current/faculty/

  3. Roles • Assistants at each stage will have edit access to the appropriate drive folder(s). • allows for uploading files and changing access to individual files • Committees, chairs, and deans will be given “view access” at the appropriate stages. • will not be able to download, print, or copy files • view access will expire at set dates/times (see schedule) • File ownership will be transferred to HR at specific points in the process. 11/12/2019 & 11/26/2019

  4. August - November • Google folders for each unit is created and shared. • Unit assistant has edit access in order to upload the faculty member’s virtual binder and insert materials into respective sections of the administrative virtual binder outline then upload file. • Departmental & college folders shared with respective committees. 11/12/2019 & 11/26/2019

  5. December Faculty provides assistant with finalized virtual binder for uploading; assistant disables • downloading/printing/copying for each document uploaded. Unit TPR committee reviews Faculty Checklist & materials in administrative binder or external • reference letters if retained in a Google folder. NOTE: Available in each subfolder is a navigation document to help in searching for sections of the binders. By 12/23/19 unit TPR committee sends their completed confidentiality statement, • recommendation, and memo to appropriate assistant. NOTE: After this date, the unit’s committee will no longer have access to the drive/binders. 11/12/2019 & 11/26/2019

  6. January (Mid to Late) In Colleges chair: • submits recommendation memo to assistant for binder by 1/17/20, assistant: • ensures that all files from unit TPR and chair review are included in the administrative binder, • uploads binder file, • changes ownership of all files to Renee Ozanich. NOTE: After chair deadline (1/17/20), departments will no longer have access to the files/folders. college & inter-school TPR committees: Have access to folder and will be able to review completed files if they are ready early. 11/12/2019 & 11/26/2019

  7. February Beginning of month: By 2/7/20 college/inter-school TPR committee sends their confidentiality statement, • recommendation, and memo to respective assistant. NOTE: After this date, committee will no longer have access to the drive/binders. Assistant adds documents to the administrative binder. • End of month: Dean’s recommendation and memo due to assistant by 2/28/20. • Assistant will add the dean’s recommendation and memo to the administrative binder. • Assistant changes ownership of the documents to Renee Ozanich. • NOTE: After this date, college dean and assistant will no longer have access to the drive/binders. 11/12/2019 & 11/26/2019

  8. March, April, and May • March: Provost and president review materials. • April: review and recommendation is complete and communicated to deans, faculty, and the Secretary of the Board of Trustees. • Board agenda is made public two weeks prior to May meeting and will include faculty informational sheets. • May: Board of Trustees votes at meeting. • HR distributes Board actions to deans and department chairs/division directors. • Supervisor distributes tenure and/or promotion letters to individual faculty. 11/12/2019 & 11/26/2019
