  1. Uzbekistan – General Exhibition Shipping Instructions 2019 Shipping Instructions for Consignments Sent Direct To Tashkent As the official logistics, site handling and customs clearance agent, appointed by the organizer ITECA Exhibitions / ITE Uzbekistan, Meritex EG Ltd and our local daughter company, OOO Silk Road Logistics (SRL), are responsible for the complete movement of all cargo for all ITECA Exhibitions / ITE Uzbekistan exhibitions in Uzbekistan. ARRIVAL DEADLINES Please make sure your consignments arrive in Tashkent at the latest by:- • Road Freight 5 working days before the start of the build-up • Air Freight 5 working days before the start of the build-up CONSIGNEE INSTRUCTIONS Please make sure all transport documents: CMR’s and AIRWAYBILLS are consigned as follows: - Consignee: OOO «SILK ROAD LOGISTICS» Address: The Republic of Uzbekistan, Tashkent, Mirabadskiy district, Chimkent street, Building 19/73 ITN:305261090 The customs post: VED TASHKENT - TOVARNIY , code:26002 (applicable for road freight only) Notify party: OOO «SILK ROAD LOGISTICS» / Aziza Muminova / aziza@silkroadlogistics.uz Tel: +998 909438772

  2. All freight must arrive at the exhibition site or the airport in Tashkent “Freight Pre- Paid”. We cannot accept cargo which arr ives on a freight collect basis without prior notification and agreement. Please make sure that all shipments are notified in advance to Meritex EG Ltd in the UK to avoid possible delays and surcharges in Tashkent. Employees of the Organizer are not au thorized to accept exhibitors’cargo. In order to avoid problems and delays with delivery, make sure you send cargo consigned only to Silk Road Ligistics. TRANSPORT BY COURIER & HAND CARRY It is NOT recommended to send your shipments by Courier or Express Companies (e.g. UPS, TNT, FedEx or even DHL-Express!). Although they usually offer a door-to-door service, they are unable to clear your exhibition shipment with customs, especially if it is a temporary import. However, if you do send with the courier, please note that handling charges will be applicable ( € 75.00) and if it is subject to customs clearance - handling, declarations, fees, duties and taxes will be charged as per our Tariff. There have been several occasions in the past where exhibitors ended up without their shipments on the stand after sending them by courier. In your own interests please use a road or airfreight mode of transportation only. Meritex International, Silk Road Logistics or ITECA Exhibitions will not be responsible or liable for non-delivery, delays or additional charges incurred if you send your shipment by courier or hand carry them.

  3. DOCUMENTATION Special invoice forms need to be completed for both temporary and permanent import of goods, examples are attached. ATA Carnets are not accepted in Uzbekistan at present. It is essential that this format is used and that the forms are carefully filled in with all columns completed. Each item in each case must be listed, together with a BTN number (Brussels-Nomenclature of Customs Tariff Codes), the net and gross weights per item and a value per item in US dollars only. If you require any assistance, please contact our offices. Temporary Import These are goods such as stand fittings / exhibits / photographs & display panels. They are imported into Uzbekistan under a customs bond and at the close of the exhibition all temporary import goods will be re-exported. Please note that Silk Road Logistics cannot import any stand equipment or your samples as full import goods. Silk Road Logistics is a logistics agent and customs clearance broker and we do not have any rights to trade or have any equipment on our company books. Consumable Import These are goods such as brochures, advertising material, souvenirs and giveaways. Uzbekistan import duties and VAT will be paid on these items on import, and passed onto the exhibitors at cost plus 10%. Please note that all the values mentioned on the invoice will be checked by customs against their nominal value per commodity code per unit and the greater value will be used to charge duties and taxes. In order to arrange full or temporary import for any samples and exhibition equipment, it is very likely that import licenses will be required. Please send all your documents in advance so we could check which licenses are required for your consignment and have enough time to issue it.

  4. The Uzbekistan Customs Authorities require Meritex / SRL to provide a copy of the client’s photo ID as proof of the goods being shipped for exhibition purposes and not in our own interest. When possible please email a copy of the ID of your representative who will be present at the exhibition along with the pre-alert. Please note Certificate of Origin and hygiene / health certificate, phytosanitary certificate are required in order to arrange clearance of food, beverage, nutrition supplements, plants, and leather items. Please do not send these items without prior notification to Meritex. If you are planning to send any Dual Use Equipment please contact us ASAP. If you are sending any wood to Uzbekistan it is important to mention the number of m2 and volume. It is essential that you send copies of Export declarations along with your shipment. The shipping terms and all the details of commercial invoice and export declarations from the country of origin must match. If you do not send Export declarations the fines might be applicable. IF YOU SEND INCORECT PAPERWORK WITH YOUR GOODS IT MIGHT NOT BE POSSIBLE TO DELIVER YOUR GOODS TO THE EXHIBITION IN TIME AND FINES WILL BE APPLICABLE. IMPORT RESTRICTIONS Under no circumstances should exhibitors ship alcohol, tobacco or excise goods, and plastic bags . Even small quantities of lighters, matches etc. are classified as hazardous cargo. All of these items can all be sourced locally. If any of the aforementioned items are shipped undeclared without our knowledge, the shipper will be held fully responsible for any repercussions.

  5. PACKING AND MARKING It is for your own best interest that all shipments for both road and air, are properly packed into robust wooden cases. The shipment of any goods in cartons is not recommended especially for goods which will be returned after the exhibition. We have to refuse all claims resulting from insufficient packaging. Each case must be clearly marked as follows:- Exhibition name Exhibitor ’ s name Hall / stand number Baku / Azerbaijan Please use our electronic label template to make sure goods are marked properly. We would recommend labelling the box from all four sides. Increasingly countries are adopting the ISPM15 standards for wood packaging therefore we recommend all wooden crates and packaging conform with this standard. Please note, permanent import goods and temporary import goods must be packed separately, and 2 separate commercial invoices have to be issued (we will provide the templates). If permanent import goods are packed together with temporary import goods and there is no separate commercial invoice the whole consignment will be arrested and fines will be applicable. If it is impossible to pack goods separately, please provide a list of temporary import goods and attached it to the outside of the box the goods are packed in. TIR PARKING All international trucks are directed to controlled terminal parking areas. Most terminals charge a minimum of € 50.00 for the first day & € 15.00 per day thereafter. These charges, if not paid by the carrier, will be passed on @ cost +10%.

  6. If you would like to park your truck at the UzExpo Center (subject to availability) during the event, parking charges will be applicable. Please contact us in advance to determine parking costs. GOODS INSPECTION AT THE CUSTOMS TERMINAL IN TASHKENT Should Uzbekistan Customs decide to make a random inspection at the customs terminal and unload a truck, any charges will be passed on @ cost+10%. Random inspections are very uncommon but they are at the discretion of the Uzbekistan State Customs and totally out of the control of Meritex or SRL. STORAGE OF EMPTY CASES If your goods shipped under permanent import but you will need cases / boxes after the exhibition, empty case secure storage charges will be applicable. Please notify us in advance if you need cases / boxes after the exhibition. HANDLING Sections 1-2 of TARIFF 2018 cover delivery to the stand only. Any lifting, mounting or other additional labour and equipment will be charged separately. SALE OF GOODS The sale of exhibits is only possible to local registered and licensed companies by a written contract. Sale to private persons and against cash payment is strictly forbidden. The ‘final customs clearance’ of the sold goods must be arranged by the buyer directly. Until the buyer has finalised all customs procedures and paid all duties, VAT and other customs charges, the goods will remain stored at the Silk Road Logistics warehouse. Payment of storage charges will be billed locally by OOO Silk Road Logistics to the Uzbekistan buyer. Until the consignment is customs cleared and all charges are paid, the sender is responsible and will be charged for any return movement if required.
